Private Label Wet Wipes: What Belongs in a Useful RFQ?

Two wet wipes quotations can look similar while describing different products. A pack count alone does not establish sheet dimensions, substrate construction, formulation, dispensing performance or packaging requirements.

A useful request for quotation, or RFQ, makes these differences visible. It gives suppliers a common brief and gives the buyer a clearer basis for reviewing samples and prices.

1. Describe the intended use before choosing claims

State who will use the wipes, where they will be used and what task they are intended to perform. Baby care, general personal care and surface cleaning briefs should not be treated as interchangeable.

List any proposed label claims separately. Ask what evidence and destination-market review would be needed before approving them. Terms such as “hypoallergenic,” “antibacterial” or “flushable” should not be added simply because they appear on another brand’s pack.

2. Specify the sheet rather than just the pack

  • Dimensions: Define the target unfolded sheet length and width.
  • Substrate: Request the proposed material composition and construction.
  • Basis weight: Record the proposed value and any agreed tolerance.
  • Surface: Identify whether a plain or textured sheet is required.
  • Evaluation: Explain how softness, strength and handling will be reviewed.

Basis weight is one specification, not a complete description of wipe quality. Compare samples with known dimensions and constructions so that differences in hand feel can be interpreted properly.

3. Make formulation requirements explicit

Confirm whether the product should be fragranced or fragrance-free, and request the ingredient information needed for review. Identify restrictions that come from your brand policy or destination market.

Ask how formulation suitability, microbiological quality and shelf life will be assessed for the proposed product and packaging combination. If a shelf-life statement is supplied, clarify which supporting information applies to that exact configuration.

4. Test the way customers open and dispense the pack

Packaging affects the everyday experience. A sample review should consider whether the opening is easy to use, whether sheets dispense as intended and whether the closure can be resealed during normal handling.

Record the test conditions. Note whether the pack is newly opened or partly used, how it is stored and what happens after repeated opening. One successful pull from a fresh pack does not describe the whole usage experience.

Request comparable commercial terms

Ask suppliers to state what their prices include, the quotation validity, applicable trade terms and any separate packaging or development charges. Keep product assumptions visible beside the price.
